6. Our lawful bases for using personal information

We will only process personal information where we have an appropriate lawful basis.

Depending on the circumstances, we may rely on:

  • Contract – where processing is necessary to enter into or perform an agreement with you.
  • Legitimate interests – where processing is necessary for our legitimate business or professional interests and those interests are not overridden by your rights and interests.

This may include responding to business enquiries, managing professional relationships, administering and developing our services, maintaining appropriate records and protecting our business.

  • Legal obligation – where we need to process information to comply with a legal or regulatory requirement.
  • Consent – where we have asked you to provide a clear choice and you have agreed to the relevant processing. Where we rely on consent, you can withdraw it at any time.

Where special category personal information is processed, we will also identify an appropriate additional condition for processing that information.

The lawful basis that applies will depend on the particular information, purpose and circumstances.

7. Marketing and professional communications

We may occasionally communicate with existing clients, professional contacts or organisations about Solvra Training & Consultancy, our services or information that we reasonably believe may be relevant to them.

Where consent is legally required for a particular type of marketing communication, we will seek the appropriate consent.

You can ask us to stop sending marketing communications at any time by contacting us at info@solvratc.uk.

We will respect your request and may retain limited information on a suppression list to ensure that your preference continues to be honoured.

8. Who we may share personal information with

We do not sell personal information.

Where necessary and appropriate, we may share personal information with organisations or individuals that support our business or the delivery of agreed services.

Our service providers are expected to process personal information only for authorised purposes and to apply appropriate security and confidentiality measures.

9. International transfers

Some of our technology or professional service providers may process or access personal information from countries outside the United Kingdom.

Where this happens, we will take reasonable steps to ensure that an appropriate legal transfer mechanism and safeguards are in place.

These may include:

  • UK adequacy regulations;
  • approved contractual safeguards; or
  • another transfer mechanism permitted under data-protection law.

10. How long we keep personal information

We keep personal information only for as long as it is reasonably required for the purpose for which it was collected, including relevant legal, contractual, accounting and professional requirements.

Our usual retention approach is:

  • general enquiries that do not lead to commissioned work will normally be retained for up to 24 months after the last meaningful contact;
  • client and professional-partner contact information will be retained while the relationship remains active and subsequently reviewed as part of the relevant business or service records;
  • core client and project records, including agreements, proposals, key correspondence, final deliverables, invoices and payment records, will normally be retained for six years after the engagement ends;
  • personal information about service users or other third parties received for commissioned work will be retained only for as long as necessary to complete the work, meet the relevant agreement or comply with a legal obligation, after which it will be securely deleted or returned as appropriate;
  • marketing information will be retained until you withdraw consent, object or we determine that it is no longer appropriate to retain it;
  • limited information may be retained on a suppression list to ensure that a request not to receive marketing is respected; and
  • cookie and website-usage information will be retained in accordance with our Cookie Policy and the settings of the relevant technology provider.

We periodically review the information we hold and securely delete or anonymise it when it is no longer required.

11. How we protect personal information

We use proportionate technical and organisational measures intended to protect personal information against:

  • unauthorised access;
  • accidental loss;
  • inappropriate alteration;
  • unauthorised disclosure; and
  • destruction or misuse.

Measures may include access controls, password protection, appropriate technology safeguards, secure systems, limited access to information and appropriate confidentiality arrangements.

Although no method of electronic storage or transmission can be guaranteed to be completely secure, we take reasonable steps to protect the personal information for which we are responsible.

12. Your data protection rights

Depending on the circumstances and the lawful basis being relied upon, you may have rights in relation to your personal information.

These may include the right to:

  • object to certain uses of your personal information;
  • request transfer of certain information in a portable format where applicable; and
